Phone Answering for Lawyers: A Law Office Receptionist That Answers While You Are in Court
Phone answering for lawyers is a digital assistant that answers the office phone in Hebrew while the lawyers are in a hearing or a meeting, takes a new client's inquiry in an orderly way, detects urgent matters such as an arrest or a hearing tomorrow and transfers them immediately. It gives no legal advice, records the opposing party's name for a conflict check and announces the recording at the start of the call. Israel has about 75,000 active lawyers, and a new client usually picks the first office that answered and sounded organized. The problem is that lawyers spend their mornings in court, and new clients call exactly then. A part-time office manager covers part of the day, and voicemail covers nothing.
A Monday at a two-partner office: 8:30 in court, the phone rings
Adv. Yael and Adv. Ronen run a family and real-estate law office in Ramat Gan. The office manager works three days a week, 9:00–15:00. On Monday Yael is in the Family Court in Rishon LeZion from 8:30, Ronen is signing a sale agreement at the land registry, and the office manager is off. Seven calls come in before noon.

New-client intake: what is collected and in what order
A new client's call to a law office is a sensitive conversation. The caller is stressed, sometimes embarrassed, and usually does not know what matters. The assistant leads the call in a fixed order the office defined, one question at a time.
- Matter type: accident, family, real estate, criminal, employment or other. The answer tells the assistant which lawyer to route to.
- Urgency and dates: is there a hearing, an order or a deadline, and when.
- Full name and phone, with the number read back to confirm.
- The opposing party's name only, with no details, for the conflict check.
- How they found the office, if the office wants to measure lead sources.
- A convenient time for the callback, and a promise of a defined window.
What the assistant never does: legal advice, promises and fees
- No legal advice. To “do I have a case” or “what should I do” it answers that the lawyer will call back, and records the question as asked.
- No unapproved fee quotes. If the office approved a price for a first consultation, it states it. For everything else it logs a request for a quote.
- No information about existing cases over the phone. An existing client asking for a status gets a callback from the lawyer, not details from the assistant, because identity cannot be verified on a voice call to the standard professional confidentiality demands.
- No commitment to representation, a hearing date or an outcome.
Confidentiality and recording in a law office
A lawyer's duty of confidentiality extends to what a client tells whoever answers in the office's name. Recording is lawful under the Secret Monitoring Law because the office is a party to the call, but Bar ethics rules require disclosure to the client, and the Privacy Protection Law requires notice that details are being collected. That is why the assistant announces at the start that it is a digital assistant and that the call is recorded.
- Recordings and transcripts are stored in the office's dashboard, with a separate user for each lawyer and the office manager, and a retention period you set.
- Amendment 13 to the Privacy Protection Law (in force since 14 August 2025) treats call details as personal data. The office is the data controller, and Azorly holds the data under a data processing agreement.
- The assistant collects only the fields the office enabled. An ID number, for example, is not requested unless you asked for it.

Set office hours (Sun–Thu 9:00–18:00) and holidays in the characterization. On mornings when everyone is in court, forward all calls with *21*; the rest of the time use no-answer forwarding with *61* followed by the number and **20#.

“Arrest”, “hearing today or tomorrow”, “demolition or eviction order”, “deadline today” transfer the call to the on-duty lawyer's mobile. With no answer, an urgent message goes to both partners.
