Phone Answering for Small Businesses: When You Are Also the Receptionist

Phone answering for small businesses is a service that picks up the business phone when the owner cannot: mid-job, with a customer, driving or after hours. For a one-person business the options so far were voicemail, a human answering bureau at ₪149–429 a month, or answering while working. Israel has about 650,000 businesses, and 99.6% of them are small or medium. Most are run by one or two people, where whoever does the work also answers the phone, issues invoices and chases payments. The State Comptroller's 2025 report found that about 80% of businesses that closed had up to 5 employees. These businesses live on the phone, and they are exactly the ones with nobody to answer it.

A day in a one-person business: the phone rings at the wrong time

Avi is a plumber. At 10:30 he is under a sink with wet hands, and the phone rings: a new customer with a leak. He will call her back at 13:00, and she has already found someone else. What the assistant does for a one-person business

  • Answers in the business's name, in Hebrew, with a name you chose: Omer for a garage or trade, Tamar for a salon, Itai for a barbershop, Michal for an accountant.
  • Books an appointment or logs a booking request per the hours and services you defined, and sends the customer a WhatsApp confirmation.
  • Takes a message with a promised callback window, for example “Avi will call you back by 13:00”.
  • Filters: sales calls and spam are flagged and do not disturb you. A new lead is marked as a lead.
  • Detects urgency from your words (“heavy leak”, “no power”) and rings you immediately, and if you do not answer sends an urgent message.
  • Sends a summary of every call to WhatsApp: who, what, what was promised and what is urgent. The recording and transcript are in the dashboard.
  • Changes with a sentence: “I am on vacation until the 20th from now on” and that is what callers hear immediately.

One call, from start to summary

Back to Avi the plumber, this time with Omer, the digital assistant he picked. 10:30, Avi is under a sink, the phone rings for 20 seconds and moves to Omer. “Hi, Avi Plumbing, Omer speaking, Avi's digital assistant. Tell me what's going on.” The customer describes a leak under the kitchen sink. Omer asks three questions: where (city and street), whether the main tap stops the water, and which floor. A “leak” without “flooding” is not an emergency under Avi's rules, so Omer offers a window today between 14:00 and 16:00, reads the phone number back and says Avi will confirm on WhatsApp by 13:00.

  • What the customer got: an answer within 20 seconds, a time window and a promise that someone will confirm. She does not call the next plumber.
  • What Avi got on WhatsApp: “New call from Ronit (052-1234567), leak under the sink, 10 Herzl St. Petah Tikva, 3rd floor, water shut off. Offered 14:00–16:00 today. Urgency: normal.”
  • What Avi did: on his next break he tapped “approve”, and the customer received a WhatsApp confirmation. 20 seconds of work instead of an unanswered callback.
  • Had the customer said “flooding” or “gas smell”: Omer would have rung Avi immediately, and if Avi did not answer, sent an urgent message and told the caller to shut the main tap or dial the gas company's emergency line.
